Position Summary

Based out of New Glasgow, NS, the Accounts Payable Administrator is responsible for accurately and timely processing vendor invoices, expense reports, and payments while ensuring compliance with corporate policies and established workflows. The position also involves managing vendor relationships, meeting strict deadlines and reporting metrics, collaborating with cross-functional teams, and proactively supporting business objectives through problem solving and process improvements. Additional duties of the Accounts Payable Administrator include but are not limited to:

  • Ensure all vendor invoices, expense reports, and other payments are processed accurately, timely, and in compliance with corporate policies.
  • Process release of payments through Voyager Bill Pay on a semi weekly basis in accordance with established process and department guidelines using system workflows for approvals.
  • Manage vendor interactions to resolve issues quickly and maintain positive, professional relationships.
  • Adhere to established deadlines and departmental performance metrics to ensure timely and reliable processing.
  • Produce accurate, high-quality work with strong attention to detail and minimal need for verification or revision.
  • Demonstrate awareness of organizational strategy and team goals and contribute to achieving them through daily activities demonstrate awareness of corporate strategy and team’s goals and strive to achieve them.
  • Collaborate effectively with cross-functional teams to support operational and financial objectives.
  • Show initiative in problem solving and identify opportunities to improve processes and operational efficiency.
  • Engages across all levels of the organization to create and promote a safe and respectful work environment.
  • Other special projects and tasks as assigned.

The profile we are looking for

  • Post-secondary education in Accounting, Finance, Business Administration, or a related field, or an equivalent combination of education and experience.
  • 2–3+ years of experience in accounts payable or accounting support functions, preferably within a corporate or shared services environment.
  • Experience working with accounting or ERP systems (experience with Yardi/Voyager considered an asset).
  • Strong proficiency in Microsoft Office Suite, particularly Excel, with the ability to manage and review financial data accurately.
  • Excellent organizational skills and attention to detail, with the ability to manage multiple deadlines in a fast-paced environment.
  • Strong communication and problem-solving skills, with the ability to collaborate effectively with internal teams and external vendors.
