Position Summary

Based out of New Glasgow or Halifax, NS, the Coordinator, Recoveries is responsible for collaborates closely with the Recovery and Shared Services/Internal Reporting teams, as well as operations and leasing teams, to facilitate information flow, ensure data accuracy, and contribute to a positive tenant experience. Additional duties of the Coordinator, Recoveries include but are not limited to:

  • Manages the Recovery Inquiry inbox, triaging tenant requests and coordinating with internal teams (including Recoveries Analysts, Accounting, Accounts Receivable (AR), Leasing, Legal, and Operations) to ensure accurate and timely responses.
  • May complete low-to-medium complexity analysis and respond to inquiries independently where appropriate.
  • Identifies opportunities to enhance the tenant inquiry process, including implementing standardized responses and request forms.
  • Supports data collection and maintenance for recovery-related items, ensuring accuracy and timely updates in Yardi.
  • Collaborates with Operations and Accounting teams to facilitate direct tenant cost reconciliations for monthly reporting and year-end billings.
  • Coordinates with AR on annual tax billing processes, ensuring timely delivery of tax bills for invoicing.
  • Provides regular status updates to the Manager, Recoveries on key processes, flags potential risks, and contributes to identifying opportunities for process improvements.
  • Engages across all levels of the organization to create and promote a safe and respectful work environment.
  • Other special projects and tasks as assigned.

The profile we are looking for

  • Post-secondary education in Business Administration, Accounting, Finance, or a related field; equivalent experience will be considered.
  • 1–3 years of relevant work experience in a coordination, administrative, or support role, ideally within commercial real estate, property management, accounting, or finance.
  • Familiarity with recoveries or tenant billing processes is an asset.
  • Strong proficiency in Microsoft Excel and Word; experience with Yardi or similar property management/accounting software is preferred.
  • Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities and meet deadlines.
  • Strong written and verbal communication skills and a customer-service mindset when working with internal teams and responding to tenant inquiries.
  • Ability to work both independently and collaboratively in a team-oriented environment.
  • Proactive problem-solver with an interest in learning and process improvement.
