Position Summary

Reporting to the Associate General Counsel, the Coordinator, Lease Documentation is responsible for the administration and coordination of activities in support of the Lease Documentation team. This role is a key member of Lease Documentation team, and collaborates with other Regional and National teams on improving consistency and efficiency of the leasing processes. The successful candidate will demonstrate an active interest in commercial real estate and enthusiasm for the role.

As the Coordinator, Lease Documentation, you will provide administrative support for all finalized documentation, including distribution of documents and file maintenance, updating of electronic files as required and ensuring paper filing is organized and completed. The department Coordinator will review and process Tenant Allowance and Brokerage Commission requests as well as prepare confirmation agreements, pylon sign agreements, storage agreements, and license agreements.

Acting with a sense of urgency, the successful candidate will coordinate and process all lease clause abstractions from final documentation to electronic files while working collaboratively with the Lease Documentation Team to ensure seamless operation of the department. You will play a key role with internal business units and liaise with clients while providing superior customer service to all Crombie employees, clients, suppliers and to the public by gathering information for various department requests and responding professionally and promptly to all questions, inquiries, and requests and perform other duties as assigned.

The Profile We Are Looking For

Our ideal candidate would have two years minimum of related legal/administrative experience in a professional environment as well as a post-secondary degree or diploma in legal and/or office administration. However all individuals demonstrating proficiency in MS Office Suite and experience in organizing and managing concurrent projects will be considered. Previous experience using Yardi Voyager is considered an asset. Professionalism and superior communication skills both verbally and written are a must. The successful candidate must be able to develop and build upon existing relationships both internally and externally.
