Position Summary

Reporting to the Director, Development, the Development Coordinator provides administrative support, including preparing general correspondence and mail correspondence, coordinating accommodations and travel as well as updating and maintaining contact information for the team. This role will support Development Teams in both Central and Atlantic Canada. Additional duties of the Coordinator, Development include but are not limited to:

  • Schedules meetings & prepares documents and presentations to assist with building Crombie’s market presence and furthering industry relationships
  • Sets up and maintains job cost projects, budgets, contracts, change orders, invoices, and generates job cost analytic reports
  • Verifies invoice payments and communicates with outside vendors regarding status and issues
  • Creates and submits new vendor requests to Accounts Payable
  • Uploads, sets up, and maintains development jobs including job cost, proformas, budgets, revisions, purchase orders and change orders in Yardi, as well as providing monthly job forecasting support
  • Uploads and maintains electronic programs and files as required and ensures that paper filing is organized and completed
  • Reconciles and prepares project close-out documentation, including closing out projects in Voyager and reporting on project status to financial analysts and accounting
  • Provides requested project documentation to auditor as required
  • Creates and distributes new contracts for development and construction jobs once tenders are awarded and maintains all administrative project elements
  • Collaborates with Project Managers, Estimators, Leasing and other members of the Crombie team to support development projects
  • Collaborates with key Engineering, Construction and Development roles to share responsibilities as required
  • Sourcing outside vendors for development marketing signage creation and installation
  • Liaises and openly communicates with contractors, consultants and other relevant parties to provide a main point of contact for general inquiries
  • Manages calendars and liaises with other support staff to ensure tasks are tracked and reminders are circulated
  • Provides payroll support by entering and maintaining SAP entries for head office employees weekly
  • Cultivates strong working relationships internally across all departments as building relationships with external partners and stakeholders
  • Engages across all levels of the organization to create and promote a safe and respectful work environment
  • Other tasks and special projects as assigned

The profile we are looking for

Our ideal candidate would have two years minimum of related experience in a professional environment as well as a post-secondary degree or diploma in Business Administration. However, all individuals demonstrating proficiency in MS Office Suite, PowerPoint, and Excel, and experience in organizing and managing concurrent projects will be considered. Previous experience using Yardi Voyager is considered an asset.

All candidates must demonstrate professionalism and superior communication skills both verbally and written, and an interest and commitment to Environmental, Social, and (Corporate) Governance responsibilities is a must. The successful candidate must be a self-starter who is able to develop and build relationships internally and externally as well as the ability to maintain confidential information.
